Our client Tutor Doctor Birmingham Solihull provides professional and reliable private in-home and online tutoring services. As a proud leading provider of private special needs tutoring services, Tutor Doctor sought to enhance their one-to-one tutoring services for students with the new Flare Education platform and mobile app.

Our digital transformation in attendance tracking, safeguarding, and lesson management, we developed the Tutor Doctor Attendance & Safeguarding Mobile App and back-office platform. This solution features secure authentication, real-time GPS tracking for student journeys, comprehensive attendance monitoring, and detailed reporting capabilities for compliance with local councils and other stakeholders, improving both operational efficiency and user experience.

THE PROBLEM

Organising daily tutoring for hundreds of students and tutors, ensuring timely arrivals for up to 70 lessons per day.

Manual Processes

Reliance on emails and phone calls for communication led to high administrative overhead and inefficiencies

Disparate Systems and Complex Reporting

Use of multiple systems for different administrative tasks complicated data management and compliance, making lesson and reporting to local councils time-consuming and error-prone

Tutor, Student Convenience

Dependence on students, tutors, and parents to manually track scheduled lessons and communicate issues led to disorganization and increased the risk of miscommunication.

Safeguarding Concerns

Back-office Platform Development

To address these challenges, we developed an integrated mobile application and back-office platform with the following high-level features

Core Features

  • Secure Authentication: Implemented OAuth2-based user authentication for secure access.
  • Dashboard:  Provided a high-level view of lessons, incidents, and absences
  • Calendar Management: Enabled the creation, editing, and deletion of lessons, along with assigning tutors and students.
  • Attendance Monitoring: Allowed monitoring of attendance and generation of detailed CSV reports for local councils and other stakeholders.
  • Incident Management: Facilitated the management of incident cases with reporting capabilities.
  • CRM for Students, Parents, and Tutors :Managed profiles, linked students to parents, and provided a comprehensive view of consultations
  • Tracking and Reporting: Implemented tracking features for student and tutor hours, with the ability to generate reports.
